Cancelling, closing your workspace and your data

How to stop the subscription, how long access lasts after you do, what happens to your quotes and clients, and how to get a copy of everything or have the workspace deleted.

Cancelling, closing your workspace and your data

Cancelling a subscription and losing access are two different events, and Clavoz keeps them
apart on purpose. This guide says which one you are doing at each step, and what happens to
your quotes, clients and photographs along the way.

Stopping the subscription

Settings → Billing & Plan → Manage Subscription & Invoices, then cancel in the Stripe
portal. That stops the renewal. It does not take the workspace away.

In the app's own vocabulary, what you are in the moment you cancel is Canceling — not
renewing, still open. The status chip on the Billing card says so, and the date under it is
the day access will end.

Access continues to the end of the period you already paid for

The rule that shapes all of this: a workspace keeps working until the end of the period
its owner has already paid for.
Cancelling takes away nothing you have paid for. Taking
away work somebody paid for — even at their own request — is confiscation, not
cancellation.

Three separate ideas are worth keeping apart:

What it means
Canceling The subscription will not renew.
The date access ends The end of the period you have already paid for.
Closed The app's statement that the workspace is shut.

Between the second and the third, nothing changes for you: quotes, exports, signatures, the
client portal and the payments page all keep working normally. If you are mid-job, you can
finish it and export what you need before the date arrives.

When the date arrives the workspace is locked, not erased

When the date arrives — or when Stripe tells the app the subscription is over — the
workspace is locked. Signing in is refused for everybody in it: the owner, admins and
members alike, including a fresh login with a completely correct password. The lock sits at
the sign-in gate, which is what every request passes through, so it covers every page and
every export rather than just hiding the dashboard.

Nothing is deleted. The rows stay exactly where they are. That is what makes a copy on
request, a support reversal or a "please, I need my numbers back" possible at all — a
closed workspace is locked, not wiped.

Closing the account yourself: kept 90 days, then deleted

There is a Close your account card at the bottom of Settings, Account (owner only;
you type the business name and your password). It does not delete anything on the spot.
For a contractor, the records in here are often the only copy of a job: the photos, the
signed proposal, the costs. So a closed account is kept, locked, for 90 days: sign
back in with the same email in that window and everything comes back exactly as it was.
After 90 days it is permanently deleted. The whole flow, including the download to take
first, is in Your account and your data.

Cancelling, closing and locking never delete anything on their own; only the 90-day clock
after a close does.

Getting your data out

You can export individual artefacts from the app at any time, and continue to right up
until the workspace locks:

Where What you get
Export PDF on a quote (or the download icon on the dashboard) The proposal as the client saw it
Export Material Takeoff in the quote builder The materials grouped by item and unit, ready to price or order

The whole workspace. Settings, Account, Download your data builds one ZIP of
everything the business owns — settings, price list, clients, quotes with the PDF of every
sent proposal, invoices, jobs, insurance work, the uploaded files and photos, transcripts
and your account history — with a README.txt that explains every file. It builds in the
background; the card shows "Ready, download" and the owner is emailed the link, which lasts
seven days. Choose what to download picks only the groups you want. The details are in
Your account and your data.

Changed your mind

If you cancelled but the date has not arrived, email hello@clavoz.com from the owner's
address and we will turn the renewal back on. Nothing was touched in the meantime, so you
carry on exactly where you stopped — the workspace, the clients and the quotes are all
still there.

If the date has already passed, the same email is the way back: a closed workspace is
locked, not gone, and asking is all it takes to have it reopened.

What does not happen when you cancel

The expectation and the reality, side by side:

You might expect What actually happens
Access ends the moment you cancel Access runs to the end of the period you paid for
Your quotes and clients are deleted Nothing is deleted; a closed workspace is locked
Your clients are told Nobody is emailed on your behalf — tell your clients yourself
One more invoice arrives You are not billed again; the period you paid for is the last one
You can still export after the date The lock is at sign-in, so export what you need before it

Before you close — a short checklist

  • Export what you will need: the PDFs of the proposals, the material takeoffs, and the
workspace archive if you are leaving entirely.
  • Tell your team. The lock applies to every account in the workspace, not just yours.
  • Note the date access ends (Settings → Billing & Plan, beside the status chip) and put
    it somewhere outside the app.
  • Chase anything you are owed. Draws, deposits and milestone payments move between you
and your client — Clavoz does not hold or route that money, so cancelling does not affect
    payments already due to you.
  • Download your data before the date, not after; the door is easier to open from the
    inside.
