Importing contacts — Google, your phone, a spreadsheet or a text

The four ways client contact details get into Clavoz — Google Contacts sync, the phone's address book, a pasted text message, or a CSV/vCard file — what each one does with duplicates, and which browser the phone picker needs.

Importing contacts — Google, your phone, a spreadsheet or a text

Four buttons on the Clients page (/clients), and each one is better than the others for a
particular kind of mess.

Sync Google Contacts

Pulls your Google address book through the People API, so no export file is involved.
You authorise it once with Google; Clavoz then reads the contacts you granted access to and
adds the ones it does not already have, reporting back as "Google Contacts: added 82,
skipped 14"
— skipped meaning that email or phone already existed in your workspace.

If the sync stops working, check that the Google permission is still granted (and that a
browser extension is not blocking the consent screen); a failed authorisation comes back to
the Clients page with the reason rather than failing silently.

Import phone contacts

Reads your phone's address book through the browser's own contact picker: nothing is
uploaded until you choose the contacts, and only the ones you tick are shared.

One catch worth knowing before you tap it — the picker is a browser feature, not something
Clavoz can add:

Where Does the picker work?
Chrome on Android Yes
Safari on iOS 14.5 and later Yes
Desktop browsers (all), Firefox, older iOS No — use Quick Paste Lead or Import File

If it is unavailable you get exactly that message, and it is not an error on your side.
Declining the permission prompt simply does nothing; re-tap and accept to try again.

Quick paste lead

The fastest route for one person. Open Quick Paste Lead, and paste whatever you have —
a WhatsApp message, an email signature block, a lead from a referral site, the text your
office manager forwarded. Clavoz pulls the name, phone and email out of it, and you save.

Import file — CSV or vCard

Import File takes a .csv (QuickBooks, Excel, any spreadsheet, Apple Contacts' CSV
export) or a .vcf (a vCard file, which is what Apple and Google Contacts export as).
There is no template to download: the importer matches the field names it recognises — name,
email, phone, site address — and ignores columns it does not, so you rarely need to rename
anything. The result is reported as created and skipped counts.

Where each tool hides the export:

Tool Path
QuickBooks Online Customers → Customer Center → Export to Excel/CSV
Google Contacts Open Google Contacts → Export → Google CSV or vCard
Apple / Outlook Export as CSV or vCard, then import the file as it is

One rule: imports only add

Every route here is additive. Importing the same list twice gives you two of everyone —
the "skipped" count catches an existing email or phone, but a row with neither will slip
through. Check or clean a list you are unsure about before running it a second time.

Merging two duplicate client records is not supported yet; if duplicates matter to a
particular client's history, delete the copy you do not want (quotes keep their own copy of
the client's name and address, so deleting a client record does not erase a quote's
paperwork).

After the import

Contact details are bookkeeping; the quote is where they earn their keep. Next:
