Features overview — a tour of the workspace
Every page in the workspace and what it is actually for — Dashboard, Quotes, Jobs, Invoices, Clients, Crew, Rate catalog, Projects, Parser, Help center and Settings — plus the honest list of what is not built yet.
Features overview — a tour of the workspace
One screen per job in the process. The left sidebar is the whole app; everything below is
reachable from it (on a phone, tap the menu button in the top left).
Dashboard — what needs you today
Open quotes, their value, and the jobs in flight, with alerts for the things that go
stale. This is a status page, not a report generator: it answers "what do I chase next".
Quotes — the builder
The heart of the app (/quotes/new). In one page:
- Line items and assemblies with quantities, unit prices, margin and totals.
- The insurance PDF parser and Record Walkthrough (voice) feeds.
- Rooms / scopes for batch-replicating assemblies across a house.
- Multi-tier pricing for Good / Better / Best proposals.
- Payment schedule — the deposit/milestone preset, priced live off the grand total,
plus the deposit payment instructions the client sees after signing. - Actuals & Expenses — log real costs against the job, with an on-budget /
over-budget badge and the resulting estimated margin. - More Actions: Export PDF, Export Material Takeoff, Print Crew Work Order, activity
log, and Add change order once the quote is signed.
Jobs / projects — the same quotes, filtered to work in progress
Not a separate record from a quote: it is /quotes?view=active, so a job's paperwork and
its price never drift apart.
Invoices — the bill that follows the job
Raise one from a signed job and Clavoz fills in the next unpaid stage, or the whole balance
if you would rather bill once. It numbers it for you (INV-0001), you edit the lines, you
preview the PDF, you email it, and you mark it Paid when the money lands. Overdue
appears on its own once a sent invoice passes its due date. Nothing on an invoice shows a
cost or a markup: it is the client's document. Details in
Getting Paid by Clients.
Clients — where the paperwork goes
Client records with contact details and site addresses, plus four routes in:
Sync Google Contacts, Import Phone Contacts, Import File (CSV or vCard) and
Quick Paste Lead for a text message or email signature. Details in
Importing Contacts.
Crew & subcontractors — who is free, and what they owe
A month calendar per person. Mark available (green) / unavailable (red) for yourself as a
crew member, or run the roster as the builder. Trade and contact details sit on the crew
record; subcontractor bids are recorded against the job they are bidding.
Rate catalog — the prices everything else leans on
Your rates, parametric assemblies, trade autocorrect and master contract attachments.
An empty catalog is why parsed scope arrives unpriced; see
Supplier Catalogue Imports.
Projects — the photos you show off
A gallery of finished jobs: a title, the trade, the city and state, and the photos that go
with it (converted to WebP on the way in, with EXIF and GPS stripped). Nothing reaches the
public site on its own — a project appears in featured projects only after you switch it
on AND a Clavoz operator approves it, and no street address ever travels with it.
Parser — the carrier estimate, on its own
Upload a PDF and read the parse on its own page (useful for triage before you commit a
quote). Background in
Parsing Carrier Estimates.
Help center — this, searchable
Every guide in one place with search. Press Ctrl+K (⌘K on a Mac) anywhere to jump
straight to a page, a quote, a client or an address.
Settings — brand, team, billing
Business & Branding (logo, licence, tax ID, currency, default payment terms, master
contract text), Billing & Plan, and Team Members (owner/admin only):
| Role | Can do |
|---|---|
| Owner | Everything, including billing and closing the workspace |
| Admin | Runs the team and settings |
| Estimator | Builds and prices quotes |
| Viewer | Read-only |
| Crew | Sees their own calendar and jobs they are on |
Platform admin tooling lives at /admin and only appears for Clavoz staff.
What is not built yet
Said plainly so nobody hunts for a button that does not exist:
- A public invoice page. An invoice reaches the client as a PDF by email; there is no
link they can open, and nothing for them to chase you on. - Client logins. Clients open a link with a token; they never create an account.
- A native mobile app. The app is a responsive web app — excellent on a phone for
signing, photos and approvals, but the heavy building is a laptop job. - Bookkeeping and tax exports, lead marketplace features, and commission/agent
payouts.
