Crew and roles — who is on the job, and what they can see

The two different things called "crew" — office accounts you invite with a role, and field accounts that carry a login and an availability calendar — plus what the app actually enforces for each role today.

Crew and roles

Three screens do three different jobs, and mixing them up is the usual source of
confusion:

Screen Who it is for
Settings → Team Members (/settings) Office accounts: owner, admin, estimator, viewer
Crew (/crew) Field accounts: who is working, and which days they are free
Settings → Profile Your own name, business details, signature, minimum margin

The Team Members tab only appears for an owner or an admin. Everyone else
sees the rest of Settings without it.

Invite a colleague (office account)

  1. Open Settings → Team Members and press Invite Team Member.
  2. Type their email and choose a role:
Role What it is for
Estimator Builds and prices quotes; can also add crew and set availability
Admin Everything an estimator does, plus the Team tab: invite and revoke
Viewer Read-only access
  1. Press Send invitation. The invitation email goes out in the background, so the
row appears under Pending invitations immediately — you are not left waiting on
    a mail server.

Each pending invite shows the email, its role and its expiry date, with Revoke
beside it. Invitations last 7 days; an expired or already-used link says so rather
than failing silently, and asking for a new one clears the old row. Owner is not on
the invite list on purpose
— one workspace, one owner, and that owner pays. Only owner
and admin can invite.

Add a crew member (field account)

Crew accounts are for the people on the roof: a login, their own profile, an
availability calendar, and nothing else.

  1. Open Crew and press + Add crew member.
  2. Fill in their name, email, phone and trade / role — free text, so
"Framing", "Drywall" or "Apprentice" is all it needs.
  3. Press Add crew member. Clavoz creates the account and shows you a temporary
    password
once, on screen, with a copy button. Hand them the email and that
password — they can sign in and mark availability right away, with no email step to
    wait for.
  4. They change that password themselves when they want: Forgot password? on the
sign-in page emails a reset link, which is how passwords are changed in Clavoz
    (Sign-In and Password Problems).

Each member's card shows their trade (or "General"), their phone and how many free days
they have this month
; the pencil edits, the trash removes.

Marking availability

  • A crew member's view: tap a day and it cycles available → unavailable →
    clear
. Only their own calendar is there — no quotes, no clients, no pricing.
  • Your view: pick a member on the left, then click days on their calendar to mark
them available (green) or unavailable (red) — useful when someone is covered in
drywall dust or simply told you over the phone.

Removing someone

  • Crew member: the trash icon on their card, one confirm, done. They can no longer
log in, and their availability history is kept so past scheduling still reads
    correctly.
  • Team member: an admin can Revoke a pending invitation from the Team tab.
Switching off an office account that has already been accepted is a support job
today — ask us rather than leaving a login open you did not intend.

What the app actually enforces

  • A crew account is hard-blocked on the server. Every request outside their own
crew endpoints comes back as "Crew accounts cannot access this resource" — a crew
login cannot open a quote, client, catalog price or billing page, even by pasting a
    URL.
  • The Team tab and the crew controls are gated by role. Team invites are
owner/admin only; crew and availability are owner, admin and estimator.
  • Viewer is a label you agree to honor. Nothing yet stops a Viewer editing a quote,
    so choose that person deliberately.
  • Closing or reopening the workspace is the owner's alone. An admin can run the
team, but not end access for everybody or bring it back.
