Email problems — nothing arrived, or the link is stale

Every email Clavoz sends (and every one it never sends), how long each link lives, why the resend button counts down, where messages hide in Gmail and corporate filters, and what to do when a client says they never got the proposal.

Email problems — nothing arrived, or the link is stale

Every email Clavoz sends

All of it comes from Clavoz <hello@clavoz.com>, and only these things are ever sent:

Email Link lives Notes
Verify your address (after sign-up) 24 hours Reopening an old link still works; the address stays verified
Password reset 30 minutes Single use, and it signs out other sessions when used
Proposal invitation (to your client) — The link is the client's way in; treat it as being as private as the proposal itself
Team invitation (to a new colleague) expires on the date shown in Settings Signed by the person who invited them
Payment failed (to the workspace owner) — Says the amount and links to the Stripe invoice so you can pay it

That is the whole list. Clavoz does not send marketing, newsletters, or SMS, and it never
emails a password.

Nothing arrived: the checklist, in order

  1. Give it two minutes. Only one email is sent per request, and the screen will tell you
    what it did.
  2. Check spam and junk, then check Gmail's Promotions and Updates tabs — a
first-time sender very often lands there and never in the inbox.
  3. Search your mail for "clavoz.com" rather than scrolling. It is often there and
filtered out of the view you were looking at.
  4. Add hello@clavoz.com to your contacts / safe senders. On a corporate or
Microsoft 365 mailbox, ask IT whether external mail is quarantined: quarantined messages
never appear in any folder you can see.
  5. Resend, but wait for the countdown. Verify-email resends are limited to one a minute
(the button counts the seconds down), which is there to stop a mailbox being hammered.
Pressing it early simply does nothing.
  6. For a password reset, request a fresh link rather than hunting for an older one: they
last 30 minutes, and an expired link tells you so plainly when you open it.
  7. Still nothing? Email hello@clavoz.com from the address that is not receiving mail —
if Clavoz sent it and your mail server ate it, that is fixable from our side and we can
see whether a send was attempted.

One thing that sometimes explains it: if the app ever tells you email is not configured,
that is a server setting only Clavoz can change. Say so in your message and it gets fixed.

"My client says they never got the proposal"

The client's email is the one Clavoz cannot see behind a firewall, so do this:

  1. Check the address on the quote — a typo'd domain is the usual culprit, and the send
screen reports success on whatever address it was given.
  2. Ask them to check spam — a proposal arriving from a contractor they have never hired
looks exactly like a phishing attempt to a mail filter.
  3. Text them the link instead. Every proposal has a copyable link and a QR code; a
text message reaches a homeowner faster than an email from an unknown sender ever will
(Sending a Proposal and Getting It Signed).
  4. Watch for the opens and the signature. Once they open it, the quote's activity log
records it, so you can tell "never arrived" from "not read yet".
Message Cause
"That reset link has expired (links last 30 minutes)" Request a new one
"That verification link has expired (links last 24 hours)" Request a new one; nothing is lost
A reset link that suddenly does nothing It was already used once — request a new one
